ElevateChat Solutions (“we,” “us,” “our”) provides an AI-powered assistant for private schools (“Service”). This Policy explains how we collect, use, disclose, and protect information for the Service and this website.

Scope & Roles

For hosted chatbots provided to a school, the school is the data controller and ElevateChat acts as a data processor. For our website, demos, and marketing, ElevateChat is the controller.

Information We Process

• School-provided data: FAQs, program details, contact info, calendar slots, integration tokens.
• User interactions: chat transcripts, inquiries, scheduling details, preferences.
• Technical data: device/browser info, IP, timestamps, diagnostics, cookies/analytics.
• Support data: emails or tickets you send us.

Legal Bases (GDPR)

Contract performance, legitimate interests, consent (where required), and compliance with law.

How We Use Information

• Provide, maintain, and improve the Service and website.
• Respond to inquiries, schedule tours/meetings, send confirmations on the school’s behalf.
• Prevent/detect fraud and security issues; perform analytics (aggregate/pseudonymized where possible).
• Communicate updates, security notices, and support.

Disclosures & Subprocessors

We use service providers for hosting, email/scheduling, analytics, and security under written DPAs. We do not sell personal data.

Children’s Privacy (COPPA) & FERPA

For K-12, the school controls collection/use of student data; we act as vendor consistent with FERPA. For under-13 users, the school is responsible for obtaining any parental consent required by COPPA.

International Transfers

Where applicable, we use appropriate safeguards (e.g., SCCs).

Security

Encryption in transit and at rest, access controls, logging, monitoring, backups, and secure development. See our Data Security Statement.

Data Retention

Retained as needed to provide the Service and meet legal obligations. Schools may set retention in contract/settings.

Your Rights

Depending on location: access, correction, deletion, restriction. For school-controlled data, contact your school. For our website/controller activities, contact us directly.
